Office Administrator

We are a small, family-run financial advising firm that focuses on retirement income planning. We are located in Upland, CA and have a satellite office in Palm Desert, CA. We are seeking a reliable, detail-oriented, and adaptable individual with great interpersonal skills to join our team as our office administrator.

 

Required:

  • HS Diploma

  • 2+ years of experience working in a professional office

  • Proficiency with MS Office Suite

  • Comfortable and familiar with CRM platforms and technologically savvy

  • Able to work independently

  • Excellent phone skills – i.e. a friendly, warm, and helpful demeanor

Recommended:

  • Bilingual

  • Notary Public

  • Life & Health Insurance licensed (or willing to become licensed)

  • Experience with outbound sales calls

  • Basic knowledge of financial products such as annuities and life insurance, and retirement accounts such as 401ks

Responsibilities:

The office administrator will play a large role in office management and upkeep, client support, and sales.

Office Management

  • Answer phones & greet clients in a friendly, warm manner

  • Ensure vendor supplies and "extras" (drinks, snacks for clients) are stocked

  • Record notes from client interactions in an accurate manner

  • Enter and maintain database of clients and prospects, manage filing system

  • Prepare various packages for mailing

  • Assist in organizing monthly events, event supplies, and promotional material

  • Prioritize daily tasks to be proactive in time management

Client Support

  • Point of contact for all clients and referrals

  • Manage account servicing requests such as opening/closing accounts, withdrawal requests, etc.

  • Schedule all client appointments for both our Upland and Palm Desert offices

  • Assist in the preparation of financial deliverables for clients

  • Assist in filling out paperwork and applications

  • Able to answer or record client questions in a friendly and calm manner

Sales

  • Solely responsible for scheduling appointments with all prospective clients

  • Able to follow an efficient process for following up with leads and making outbound calls

  • Follow workflows for completing assigned tasks within our sales process
